Terms of participation

Retreats under the SOL Retreats brand are organised by Winners Magdalena Grzywa, VAT ID (NIP) 9441757240, Aleja Rzeczypospolitej 27 apt. 11, 02-972 Warsaw, Poland, e-mail kontakt@sol-world.pl.

The Organiser is entered in the Central Register of Tour Organisers and Traders Facilitating Linked Travel Arrangements (Centralna Ewidencja Organizatorów Turystyki i Przedsiębiorców Ułatwiających Nabywanie Powiązanych Usług Turystycznych, CEOTiPT) — register entry no. 3100, made by the Marshal of the Masovian Voivodeship (Marszałek Województwa Mazowieckiego).

The Organiser holds a valid insolvency insurance guarantee issued by SIGNAL IDUNA Polska Towarzystwo Ubezpieczeń S.A. (guarantee no. M 533620, valid from 6 July 2026 to 5 July 2027), securing the refund of all customer payments if travel services are not performed due to the Organiser's insolvency and, where justified, covering the costs of customers' repatriation.

Applications are made through the form on the website. We confirm the booking by e-mail together with the payment details. The number of places is limited and admission is based on the order in which deposits are received.

All prices shown on the website are gross prices in Polish zloty and cover only the items listed under “What the price includes” for a given retreat. The Organiser benefits from the VAT exemption under Art. 113 of the Polish VAT Act, so no VAT is added to the price. The price does not include travel to the venue.

A place is secured with a payment of the first part of the price — PLN 800 — payable by bank transfer within 48 hours of booking confirmation. This payment is credited towards the retreat price.

The remaining part of the price is paid by bank transfer no later than 14 days before the given retreat begins; the exact date is shown on each retreat page and in the payment e-mail. The Organiser performs the service on the retreat dates indicated for the given retreat.

We issue invoices on request — please provide your billing details in the application form.

After confirming your booking we send a summary of the package travel contract together with these terms to the e-mail address provided; this constitutes confirmation of the contract on a durable medium in accordance with the Polish Act on package travel and linked travel arrangements.

Please send cancellations by e-mail to rezerwacje@sol-world.pl; the date the message is received applies.

Art. 394 of the Polish Civil Code applies to the deposit: if you cancel for reasons attributable to you, the Organiser may retain the deposit; if the retreat is cancelled or withdrawn from for reasons attributable to the Organiser, the deposit is refunded in double or, at your choice, in the amount paid.

Cancellation more than 14 days before the retreat: we refund everything except the deposit. Cancellation 14 days before the retreat or later: the Organiser withholds one amount only — either the deposit or, if the costs actually incurred and documented for your place (accommodation, catering, teachers' fees) are higher, those costs. These deductions are never combined. The remaining part of the payment is refunded within 14 days.

You may always nominate another person to take your place — transferring a booking is free of charge and only requires prior notice by e-mail.

If the Organiser cancels the retreat, all amounts paid are refunded in full within 14 days or — at your request — moved to another date.

The Organiser reserves the right to make minor changes to the programme due to weather or circumstances beyond our control, and to replace a teacher with a person of comparable qualifications, while preserving the character and value of the retreat.

Participation in the practices is voluntary and at your own responsibility. The participant declares that her state of health allows her to take part in physical activities and informs the teachers of any significant contraindications before the sessions begin.

The sessions are developmental and relaxation activities; they are not healthcare services, diagnosis, treatment or psychotherapy, and do not replace medical advice.

The Organiser is not liable for belongings left unattended or for damage resulting from failure to follow the teachers' instructions.

The contract concluded is a package travel contract, so the 14-day right of withdrawal provided for distance contracts does not apply (Art. 38(1)(3)(a) of the Polish Consumer Rights Act).

Under Art. 47 of the Polish Act on package travel and linked travel arrangements, you may withdraw from the contract at any time before the package starts — an e-mail to rezerwacje@sol-world.pl is enough. In that case the Organiser may charge a reasonable and justified withdrawal fee, set according to the cancellation rules in section 4: equal to the deposit or — if the costs actually incurred and documented for your place (accommodation, catering, teachers' fees) are higher — equal to those costs. These deductions are never combined.

The Organiser may withdraw from the contract and refund all payments received, without compensation, if unavoidable and extraordinary circumstances prevent performance or if the minimum group of 10 participants is not reached. We inform you without delay and refund all payments within 14 days.

Withdrawal does not affect the right to claim compensation for non-performance or improper performance of the contract under the Polish Act on package travel and linked travel arrangements.

The contract concluded with the participant is a package travel contract within the meaning of the Polish Act of 24 November 2017 on package travel and linked travel arrangements. All services covered by the retreat — the session programme, accommodation and catering — come with the traveller rights set out in that Act.

In case of insolvency, the Organiser holds a valid insurance guarantee issued by SIGNAL IDUNA Polska Towarzystwo Ubezpieczeń S.A. (guarantee no. M 533620, valid from 6 July 2026 to 5 July 2027), securing the refund of customer payments and, where justified, covering repatriation costs.

The Organiser is liable to you for the proper performance of all travel services included in the contract, including services delivered by subcontractors (the accommodation venue, session leaders).

The Organiser provides, by electronic means, access to the website content and the contact, application, waiting-list and participation-consent forms. These services are free of charge; the agreement for their provision is concluded when you start using a form and ends when you leave or submit it.

To use the website you need a device with internet access, an up-to-date browser supporting JavaScript and cookies and — for the forms — an active e-mail address.

Users must not supply unlawful content, including third-party data without their consent. The Organiser makes every effort to keep the website available, reserving the right to short technical breaks.

Complaints regarding the website and forms may be sent to kontakt@sol-world.pl and are handled within 14 days.

The rules for processing personal data are described in the Privacy policy available on the website. Participants' images are published solely on the basis of their separate, voluntary consent.

Health information (contraindications, pregnancy, medication) constitutes a special category of data and is processed solely on the basis of your explicit consent given in the participation consent form — Art. 9(2)(a) GDPR — in order to ensure safety during the sessions.

Please send complaints by e-mail to kontakt@sol-world.pl, stating your name, the retreat dates, a description of the issue and the outcome you expect. We consider them within 14 days of receipt and reply to the e-mail address provided.

A consumer may use out-of-court complaint and redress procedures, including proceedings before the provincial inspector of the Trade Inspection, the permanent arbitration court at the Trade Inspection, and assistance from the district (municipal) consumer ombudsman or a consumer organisation. Detailed information is available on the website of the Polish Office of Competition and Consumer Protection (uokik.gov.pl). Use of these procedures is voluntary for both parties.

Matters not covered by these terms are governed by Polish law, in particular the Act on package travel and linked travel arrangements, the Civil Code, the Consumer Rights Act and the Act on providing services by electronic means. Nothing in these terms limits the traveller's rights arising from mandatory provisions of law.

The Organiser may amend these terms only for important reasons, namely: a change in generally applicable law or its official interpretation, a court judgment or administrative decision concerning the Organiser's activity, a change in the Organiser's identification details, a change in the scope or manner of providing the services, a change in the technical conditions of the website, and the need to correct errors or ambiguities. Amendments do not apply to bookings confirmed before they were introduced. The current version of the terms is always available on the website.
